Check the size of the apartment

London Serviced Apartments are more spacious than hotel rooms but it is advisable to check the size and if possible the floorplan of the apartment before confirming so that you know what to expect.
 

Is there air-conditioning?

All Serviced apartments in London and across the UK will have heating however they do not usually have air-conditioning unless they have been recently refurbished or part of a new modern development.

So if you are booking in the warmer months (May - September) you may want to consider paying more for a serviced apartment with air-conditioning.

Some apartments offer in-room or comfort cooling which is similar to air-conditioning.


Facilities & services

Serviced apartments in London offer different facilities and services on-site so it is always advisable to check the timings or charges for any specific facilities you wish to use.

E.g Reception desks may only be available during the day, Car parking may incur additional charges and limited to one space depending on availability, Gymnasiums may require you to pay an induction fee. There may not be any provision for luggage rooms.

 

Occupancy and extra beds

You may think because you are booking an apartment that you can bring any number of guests, however as serviced apartments are professionally managed and insured for health and safety, they do not permit more than a maximan number of guests based on the size of the apartment.

Even the number of extra beds (sofa bed or rollaway beds) and baby cots may be restricted based on space for the safety of guests.


Check-in and Check-out timings

You must make yourself familiar with the check-in and check-out timings and procedures as different serviced apartments operate differently depending on the building services.

Check-in timings are often between 2pm and 4pm in the afternoon and Check-out timings are often between 10am and 12noon. You can request for early check-in or late check-out but these may incur additional charges or require to book an additional night.

 

How frequent is houskeeping?

Housekeeping and cleaning services vary from daily to weekly and may not be available on weekends and bank holidays.

Bed sizes

These are fully managed serviced apartment blocks regularly maintained to a hotel-style standard by a single hospitality company.

As the building is exclusively managed by the same accommodation provider, you are likely to have an dedicated on-site staff managing the mantainence of the apartments and building facilities.

Stay during Off-peak times
If you are looking to spend less, then it is best not to book during the Summer season, bank holidays (Christmas, Easter, May Bank Holiday, August Bank Holiday)
and instead travel during off-peak periods.

It is also advisable to be aware of major event dates of the year like Wimbledon, World Travel Market, Fashion Weeks as not only do the rates go up but you will find many serviced apartments getting booked up in advance with limited or no availability.
 

Share an apartment
Apartments range from studios to five bedrooms and if you are travelling as a group, you will certainly find it much cheaper to share the costs between you rather than to stay in seperate hotel rooms.

Stay longer
Serviced apartments offer longer stay discounts so the longer you stay the less you pay on a nightly basis.

You can get discounts of upto 30% on the nightly rate for stays over 28 nights.

VAT discounts
Most serviced apartments offer a VAT reduction after the 28th night of a continous stay. This would work out as 20% VAT for the first 28 nights and 4% VAT for the 29th night onwards (Check current VAT rates here)

Less services, Less cost
Operating costs go up when there are more services and facilities to maintain so if you are looking to save costs pick a serviced apartment that offers you exactly what you need.

Properties with a 24 hour reception, an on-site gym or swimming pool or a restaurant, may cost more than those without these services.

You may also wish to consider choosing an apartment without air-conditioning (heating is always included in the UK) or skipping the river side views and apartments with balconies.

Stay outside the city centre
In London, serviced apartments in the West End district or high-end neighbourhoods like Mayfair, Knightsbridge and Kensington cost considerably more than those slightly further away from the city centre.

Generally speaking serviced apartments in London Zone 1 are considered to be central London apartments and cost more or offer less space compared to serviced apartments in London Zone 2 and London Zone 3 and beyond.

How is VAT calculated in London Serviced Apartments

There are three main types of room rates in regards to VAT when booking UK Serviced apartments.

NOTE: There is a Temporary Reduced VAT Rate of 5% until 31 March 2021

1: VAT Exempt Rate

This type of serviced apartment rate is fully exempt from VAT as such the total net price quoted will be equal to the total price paid by the customer.

In this scenario the VAT charged is 0% & VAT reclaimable is 0% .

Business customers must note that they cannot reclaim VAT as there is no VAT on this rate.

 

2: Full VAT Rate

This type of serviced apartment rate is charged at the full rate of VAT for the first 28 nights, then on the 29th night onwards the rate of VAT reduces.

VAT is calculated at 20% for the first 28 nights, on the 29th night the rate of vat is 4%, the 4% per night rate continues for the rest of the stay.

This VAT situation is unique to serviced apartments (does not apply to hotels) and offers the customer a reduced price from the 29th night onwards. The reduced rate only applies to continuous stays, there cannot be any breaks (check out and check back in).

Business customers can reclaim the full VAT on this rate.

 

3: VAT on service Rate

This type of serviced apartment rate is charged at the full rate of VAT for the service element of the rate.

The actual rate consists of the VAT Exempt element also known as the rent, and VATable element also known as the service charge. This type of vat only applies to few places.

Rent = The rental amount per night, rent is non VATtable in certain circumstances.
Service element = The cleaning service offered, by VAT law - all services are generally taxable.

Business customers must note that they can only reclaim a very small amount of VAT.
 

For example:

Dolphin House Apartments
If the Studio Apartment rate = £160.00 per night including VAT

The Breakdown would be:
Rent £146.80 - VAT Exempt
Service £11.00 = VATable at 20% vat = £11.00 + £2.20 = £13.20
Total £146.80 + £13.20 = £160.00

The actual VAT paid on this rate of £160.00 is £2.20

Check-in and Key collection procedures

Checking-in times are usually later than standard hotel rooms and vary from 2pm - 4pm in the afternoon. Please check this carefully before your arrival.

These are the main types of key collection procedures in place at serviced apartments:

Reception/Concierge
At many serviced apartment properties a reception or concierge desk is available to assist with check-ins and key collection.

This can be a 24 hour service or a day service between 9-6pm.

In some cases, the reception or concierge desk is not directly managed by the serviced apartment company.
 

Meet & Greet Service
Where on-site staff is not available, the serviced apartment company may provide a Meet & Greet service to help guests with check-ins, present the keys, show them around the layout of the apartment, appliances or handbooks, and assist with any queries on arrival.

You must inform us or the apartment management team of your arrival team so that a representative will be there to greet you on your arrival.
 

Self Check-in
Some serviced apartments with no-onsite staff operate a self check-in facility.

You will need to access the keys using a key safe located at the property using a key code that the serviced apartment company will provide prior to your arrival.

If you do not receieve information regarding the key code before you arrive you must contact us or the apartment company as soon as possible.
